Primary Purpose of the Job
To carry out administrative duties and liaise with tenants to ensure a timely and responsive property administration service.
Key Performance Areas KPAs
To maximise the recovery of building expenditure through monitoring of leases to establish which expenses are recoverable and taking steps to recover utilities, municipal charges and any other operating expenses, where necessary.
To ensure tenant satisfaction through resolving tenant queries and maintaining a comprehensive and uptodate database of tenant correspondence within the limits and boundaries of binding contracts of parties as well as legislation.
To provide comprehensive reports supported with handson knowledge regarding but not limiting to arrears, legal matters, all administration elements, vacancies and lease information, maintenance and budgeting to property management.
To ensure that tenant and supplier accounts are correctly authorized and submitted for timeous payment in accordance to company policies and procedures.
To ensure each building is comprehensively administered and procedures followed with respect but not limited to legal actions, correspondence, acquisitions and disposals, tenant deposits, insurance, correct apportionment of income and expenditure, maintaining minutes for record keeping and compilation and distribution of meeting agenda.
To control building costs where possible and within the level of authority assigned to the position.
To conduct effective control of physical and electronic property management information and documentation.
Assisting with budget compilation and auditing.
Job Specific Requirements
MDA property management system knowledge desirable
Good understanding of property administration and leasing
Building insurance policies desirable
Understanding of financial accounting

General computer proficiency Intermediate level MDA desirable
Time management skills
Written and oral communication skills
Minimum of 23 years administrative experience with preference to the property sector.
Grade 12 essential
Administrative, property, auditing or accounting oriented tertiary qualification desirable
